Set Up Your Client Portal: Custom Domain and Notifications
This guide walks you through two important client portal setup steps: connecting your own custom domain so the portal looks like part of your brand, and setting up notifications so you and your clients know when something needs attention. Quick note: Everything below happens inside our partner system. My Vision Agency is the white label brand, so whether you use your own account or an MVA-branded one through us, the steps work the exact same way.
What you'll learn:
- What you need before you start
- How to connect your custom domain step by step
- The exact DNS records to add at your domain registrar
- How to set up email notifications for invoices, estimates, and contracts
- How to customize the default email templates
- What your clients can control on their end
Before You Start
You will need two things to get through this guide:
- A domain you own. If you do not have one yet, buy one from a domain registrar like GoDaddy, Namecheap, or Cloudflare.
- Access to your domain registrar. You will need to log in there to add a DNS record.
Set aside about 15 minutes for the setup. Then plan for up to 24 to 48 hours for the domain to fully connect.
How to Connect Your Custom Domain
A custom domain makes your client portal look like part of your business. Instead of a generic URL, your clients see your own domain when they log in.
Step 1: Open the Domain Setup Area
- Go to the Sites tab.
- Click Client Portal.
- Open Settings.
- Click Domain Setup.
Step 2: Add Your Custom Domain
- Click Custom domain.
- Type the domain you want to use (for example, portal.yourbusiness.com).
- Do NOT click Update Domain yet — you need to set up your DNS record first.
Important: If you click Update Domain before adding the DNS record at your registrar, the connection will fail. Do the next step first.
Step 3: Add the DNS Record at Your Domain Registrar
A DNS record tells the internet where your domain should point.
You have two options:
- A record: Points your domain to a specific IP address. Use this for a root domain (like yourbusiness.com).
- CNAME record: Points your domain to another domain name. Use this for a subdomain (like portal.yourbusiness.com).
How to add the record:
- Log into your domain registrar.
- Find the DNS settings area.
- Click the option to add a new record.
- Pick the record type — A or CNAME.
- For an A record, enter IP address 34.67.19.69.
- For a CNAME record, enter target domain preview.clientclub.net.
- Save the record.
Step 4: Wait for DNS to Update
DNS changes take time to spread across the internet. Usually it happens in a few minutes, but it can take up to 24 to 48 hours.
Step 5: Click Update Domain
- Go back to your Client Portal Domain Setup screen.
- Click Update Domain.
How to Set Up Notifications
Notifications keep you and your clients in the loop. You can set them up for invoices, estimates, and contracts.
Step 1: Open Email Settings
- Go to Client Portal.
- Click Settings.
- Click Email Settings.
Step 2: Turn Notifications On or Off
You will see toggles for each notification type. Turn them on for the ones you want your clients to get.
What Your Clients Can Control
You set the defaults, but your clients have full control over what they get.
